Date Night Planner — guide & how to use

What it does

Generic idea generators hand you a random suggestion and leave you stuck on the logistics. This planner turns your budget and vibe into a committed plan: it allocates the budget across food, activity, and transport, adds tip and tax on just the food, builds a timed itinerary from your start time, sets a reservation-by date based on the venue tier and day of week, holds back a 10% cushion, and surfaces an equal-or-cheaper backup plan. The result is a one-page summary — total, per-person, itinerary, booking deadline — you can print or text to your date. Everything runs privately in your browser, free.

How to use it

  1. Set your total budget, party size, and pick a vibe (romantic dinner, dinner + movie, adventure, casual, or at-home).
  2. Choose the date and start time, then tune the activity-block durations if you like.
  3. Set your tip rate and local sales tax. Leave food spend blank to auto-fill from the budget, or enter your own expected sit-down spend.
  4. Pick the venue tier and toggle whether you need a reservation and a backup plan.
  5. Read the night total and per-person figure up top, the full cost breakdown, your timed itinerary, the book-by date, and the backup option.

Worked example

$170 budget, party of 2, romantic dinner out vibe, 20% tip, 8% tax, mid-range venue, reservation + backup on, food spend left blank (auto):

  1. Romantic-dinner weights are food 55% / activity 20% / transport 15% (+ 10% buffer). So food allocation = 170 × 0.55 = $93.50, activity = $34.00, transport = $25.50, buffer = $17.00.
  2. Food subtotal (auto) = $93.50. Tip = 93.50 × 20% = $18.70. Tax = 93.50 × 8% = $7.48. Food all-in = $119.68.
  3. Night total = 119.68 + 34.00 + 25.50 = $179.18 → headline rounds to $179. Per person = $89.50 each.
  4. Remaining vs. budget = 170 − 179.18 = −$9.18 → Status: $9 over — the tool suggests the cheaper backup. (Lower the tip, trim the activity line, or take the backup to land on budget.)
  5. Reservation: mid-range = 10 days. If the date is a Saturday, +3 → book 13 days before.

You get a printable card: total $179 ($89.50 each), a timed itinerary, a book-by date, and a backup plan.

Vibe weights (food / activity / transport, +10% buffer = 1.00): Romantic 55/20/15 · Dinner+movie 45/30/15 · Adventure 25/50/15 · Casual 50/25/15 · At-home 70/15/5. Tip and tax are computed on the pre-tax food subtotal only — never on movie tickets or rideshare.

General etiquette: casual is same-day/walk-in, mid-range wants 1–2 weeks (10 days here), fine dining about a month (30 days). Fri/Sat add a few days; peak holidays push to 4–6 weeks. Always check the venue's own policy.

How much does an average date cost?

~$168 in early 2025 (BMO index), which is why $170 is the default. That's a starting point, not a target — cheap and free dates count too. Set your real budget and the tool fits the plan to it.

What's the 10% buffer?

A fixed unspent cushion for parking, dessert, a higher bill, or a surprise cover charge. It's the first money consumed if you go over, so a tight night dips into the cushion before showing as over budget.

What if I go over budget?

The tool never silently caps. It shows an OVER status with the exact amount over, consumes the buffer first, and surfaces the cheaper same-vibe backup so you can swap in an affordable option.
