Social Media Content Planner — guide & how to use
What it does
This free social media content planner turns a few decisions — which platforms, how often, and what content mix — into a filled posting calendar. For each platform it works out the total number of posts for your week or month, spreads them evenly across your available days (no clustering on day one), drops each post into a researched best-time window in your local time zone, and labels every slot with a content-mix category (value, promo, etc.) and one of your content pillars. You get a calendar grid, a per-platform cadence check, a content-mix breakdown, a visual timeline, and a copy / CSV export so the plan leaves the tool. Everything runs in your browser — sign in to a free account to download.
How to use it
Pick a planning period (a quick week or a strategic month) and a start date.
Tick the platforms you actually use and set posts per week for each — the fields are pre-filled with researched sweet spots; override freely.
Choose a content-mix rule (80/20, Rule of Thirds, or 5-3-2) so the plan is balanced, not all sales.
Add your content pillars (e.g. Tips, Behind-the-scenes, Promo, Testimonials) so each slot gets a topic. Leave blank to label by mix category only.
Uncheck any blackout days you won't post — slots redistribute across the remaining days.
Copy the plan, download the CSV, or print to PDF. Optionally paste a draft caption into the check at the bottom for a length/hashtag advisory.
Worked example
A creator plans a Week starting Monday across Instagram (4/wk), TikTok (7/wk), and LinkedIn (3/wk), mix rule 80/20, all 7 days enabled:
Days available = 7. Instagram's 4 posts spread as ceil(4 / 7) = 1 per active day on four days — never four on Monday.
Best times: Instagram slots land weekdays 11:00–14:00; TikTok favors Tue/Wed/Thu (Wed 06:00–08:00, Thu 19:00–21:00); LinkedIn Tue–Thu 11:00–17:00 — all in your local time zone.
Mix (80/20) on 14 posts: value = round(0.80 × 14) = 11, promo = 14 − 11 = 3 (derived by subtraction so it sums exactly to 14, never 12 of 14).
Export shows: "Instagram: 4/wk — on target", "TikTok: 7/wk — on target", "LinkedIn: 3/wk — on target", and "11 value / 3 promo = 79/21 (close to 80/20)". The mix breakdown counts the actual categories placed in your calendar, so it always equals the exported plan.

This is a planning aid, not a scheduler or auto-poster — it never connects to any platform or publishes on your behalf, and all math runs locally in your browser.
Best-time windows and frequency sweet spots are population-level aggregates (Sprout Social, Buffer, HeyOrca 2026 data). Your own audience analytics override these — treat the suggested times as a starting point, not a guarantee.
Engagement is front-loaded. Algorithms reward the first 30–90 minutes after posting, so the suggested time is a launch window — plan to be present to reply, not to "set and forget".
Character and hashtag limits reflect current 2026 platform rules and can change without notice. The in-tool checks (Instagram caption ≤ 2,200 chars; X ≤ 280; LinkedIn ≤ 3,000; Instagram hashtags 3–5 recommended, 30 hard cap) are advisory, not validation against the live platform API.
Mix rules like 80/20 are heuristics for balance, not laws. A launch week may legitimately skew promotional — override the mix when it makes sense.
Time zone matters. If detection fails the tool falls back to UTC and labels it so — scheduling "best times" in the wrong zone shifts every post hours off-peak.
Sources: Sprout Social & Buffer (best times to post 2026), HeyOrca & Buffer (posting frequency by platform 2026), Business.com (5:3:2 rule), FSE Digital (80/20 rule), Letter Counter / Advanced Character Counter / HubSpot (2026 character & hashtag limits). Not a substitute for your own analytics or each platform's live rules.
Common mistakes this planner prevents
Clustering everything on day one — the even-spread distribution keeps the busiest and lightest day within one post of each other. Consistency beats volume.
Applying one platform's cadence everywhere — X's 2+/day on LinkedIn or Facebook can suppress reach. Each platform keeps its own sweet spot.
Maxing out 30 Instagram hashtags assuming more reach — current guidance favors 3–5 relevant tags; the check flags over-tagging.
Treating the 125-char Instagram / 220-char LinkedIn preview cutoff as the limit — that's the visible "more"/"see more" preview; front-load your hook there, but you have 2,200 / 3,000 total.
Assuming a month is exactly 4 weeks — the tool derives weeks from the actual number of days, so a 31-day month plans more than a 28-day one.
Frequently asked questions
How many times a week should I post on each platform?
2026 sweet spots are roughly Instagram ~4/wk, TikTok daily (~7/wk), LinkedIn 3/wk, Facebook ~5/wk, X ~2/day (~14/wk). The planner pre-fills these so you start sane, then override. Over-posting on LinkedIn or Facebook can suppress reach — more is not always better.
What is the 80/20 rule for social media?
About 80% of posts should provide value (educate, entertain, inform) and only ~20% should be promotional. The tool splits your total into value and promo and derives the last bucket by subtraction so counts always sum exactly. It also supports the Rule of Thirds and 5-3-2.
What are the best times to post in 2026?
Instagram weekdays 11:00–14:00; TikTok strongest Tue/Wed/Thu (Wed mornings, Thu evenings); LinkedIn Tue–Thu 11:00–17:00; Facebook Wed/Thu 09:00–11:00; X Wed 08:00–10:00 and weekday mornings — all in your local time zone. Starting points, not guarantees; your analytics override them.
Does this tool post for me or connect to my accounts?
No. It is a planning aid, not a scheduler or auto-poster. It does not connect to any platform or publish for you. All math runs in your browser and nothing is uploaded. Copy the plan or export a CSV and post manually or paste into your own scheduler.
How many hashtags should I use on Instagram?
Current guidance favors 3–5 relevant hashtags over maxing the 30 hard cap. The advisory check flags a caption over 30 (will fail to post) or over 5 (diminishing returns). It is advisory, not validation against the live platform.
Is the social media content planner free?
Yes. It is 100% free and runs entirely in your browser.
