Guide: how to use this travel budget calculator

What it does

This tool answers the one question every trip starts with: "how much will this whole thing cost me?" Instead of guessing, you itemize the six categories that make up almost any trip budget — transport to get there, lodging, food, local transport, activities, and fixed extras — add a contingency buffer, and instantly see the total, the cost per person, and the cost per day. The per-person and per-day figures are what make a budget real: they turn a scary lump sum into "save $X a paycheck" and let you compare two destinations fairly. Everything runs privately in your browser, free.

How to use it

  1. Set travelers, nights (for lodging), and days (for daily costs).
  2. Enter flight/transport per person and lodging per night for the whole party (one room or rental).
  3. Enter a realistic food and local transport figure per person per day.
  4. Add activities per person (whole trip) and any fixed extras paid once (insurance, baggage, rental car, visas).
  5. Keep a 10–15% buffer on, then read the total, per person, and per day.

Worked example

A 2-person, 5-night / 6-day trip: flights $350/person, lodging $160/night, food $60/person/day, local transport $15/person/day, activities $120/person, fixed extras $100, 12% buffer:

  1. Flights = 350 × 2 = $700.
  2. Lodging = 160 × 5 nights = $800.
  3. Food = 60 × 6 days × 2 = $720.
  4. Local transport = 15 × 6 × 2 = $180.
  5. Activities = 120 × 2 = $240. Fixed extras = $100.
  6. Subtotal = 700 + 800 + 720 + 180 + 240 + 100 = $2,740.
  7. Buffer = 12% × $2,740 = $329. Total = $3,069.
  8. Per person = 3,069 / 2 = ~$1,535. Per day = 3,069 / 6 = ~$512/day.

So you'd plan to save about $3,069 — roughly $1,535 each. Drop a hotel star and trim food to $45/day and the total falls under $2,700.

The formula

flights      = flightPerPerson × travelers
lodging      = lodgingPerNight × nights
food         = foodPerDay × days × travelers
localTrans   = transportPerDay × days × travelers
activities   = activitiesPerPerson × travelers
subtotal     = flights + lodging + food + localTrans + activities + other
buffer       = subtotal × (bufferPct / 100)
TOTAL        = subtotal + buffer
perPerson    = TOTAL / travelers
perDay       = TOTAL / days

Flights, food, local transport and activities scale with travelers (and food/transport also with days). Lodging is one party charge per night. "Other / fixed" is added once. The buffer is a percentage of the subtotal.

Should I include a buffer?

Yes — 10–15% is standard. Something always comes up: delays, fees, tips, currency conversion. The buffer is what makes the total the amount you should actually save.

Is the flight cost per person or per group?
