Name Tag Maker — how to use it

What it does

This free name tag maker turns a list of names into a print-ready PDF of name badges — right in your browser — for conferences, trade-show booths, church groups, classrooms, volunteer events, and corporate meetings. Paste names one per line, or upload a CSV/TSV exported from your registration list or sign-up sheet. Each row becomes one badge with up to three lines: name (largest), an optional title or role, and an optional organization. Pick a real Avery template so the badges land on the perforations of stock you already bought, add a shared event header and an optional logo, and download a multi-page PDF — no signup, no watermark on the badges, nothing uploaded.

How to use it

1. Add your names (required). Paste one name per line, or use Name, Title, Org on each line. Or upload a CSV/TSV — columns 1–3 map to name, title, and organization.
2. If your file has a header row like Name,Title,Org, tick “First row is a header” so it isn't printed as a badge.
3. Choose a badge template — Avery 5392/74541 (3×4″, 6-up clip inserts) or Avery 5395 (2⅓×3⅜″, 8-up adhesive) — and your paper (Letter or A4).
4. Optionally add a shared header (e.g. HELLO my name is or your event name), an accent color, and a logo.
5. Pick auto-fit (long names shrink) or fixed name size, toggle cut guides, then click Download badge PDF (or Print). Print at 100% / Actual Size.

Worked example

A volunteer coordinator has 47 people on a sign-up sheet. She exports it to CSV (Name,Role,Team), uploads it, and ticks “First row is a header.” She picks Avery 5392 (3×4″, 6 per sheet) on US Letter, types the header Spring Cleanup 2026, and sets her org's blue as the accent color. The headline reads 47 badges across 8 pages — 1 blank on the last sheet (47 ÷ 6 = 7.83, rounded up to 8 sheets; the last sheet holds 5 badges and 1 blank slot). The breakdown shows buy at least 8 sheets of 5392 stock. One name, “Christopher Vandenberghe,” is long, so auto-fit shrinks it to fit the safe zone — no clipping. She clicks Download badge PDF, prints at Actual Size, and the badges drop straight into her clip holders.

How the math works

• Badge count = number of non-blank rows after trimming whitespace (fully empty rows are dropped, never wasting stock).
• Badges per page = columns × rows per template. 5392/74541 is 2×3 = 6; 5395 is 2×4 = 8.
• Pages needed = badge count ÷ badges-per-page, always rounded up. With 0 badges, pages = 0 (nothing to print).
• Blanks on last sheet = (perPage − (count mod perPage)) mod perPage — so an exact fit shows 0 blanks, never a phantom full blank page.
• Sheets to buy = pages needed (one physical Avery sheet per page).
• Grid origins are die-cut constants per Avery product (hard-coded margins and gutters), not an even division of the page — that's what keeps badges on the perforations down the whole sheet.

Accuracy & print disclaimer

Always print at 100% / “Actual Size.” The single biggest cause of badges not lining up with Avery perforations is a print dialog set to Fit to Page, Shrink to printable area, or Auto-rotate and center — any of these shifts every badge off the die-cut. Turn them off. Home laser and inkjet printers also have a non-printable border (~0.25 in) they physically cannot reach, so keep critical text inside the safe zone (this tool insets text automatically) and expect background color that bleeds to the card edge to show a faint white hairline. Avery grid origins here are hard-coded per product number (5392/74541 6-up, 5395 8-up); choosing a US-Letter Avery template with A4 paper will shift the grid — match your paper to the template. On-screen accent color is approximate, not a calibrated proof — printers and color profiles vary. Everything — CSV parsing, logo handling, PDF generation — happens entirely in your browser; no names or files leave your device. This tool produces print-ready artwork, not secure ID credentials (no barcodes or holograms unless you add them as a logo image). Bleed standard is 0.125 in; safe zone 0.125 in minimum, 0.25 in recommended for high-stakes jobs (per print-industry and Avery guidance).

Common mistakes this tool helps you avoid

• Printing at “Fit to page” instead of 100% — the #1 reason badges miss the perforations. Print Actual Size.
• Evenly dividing the page to place cards instead of using the product's real die-cut margins, causing drift down the sheet. This tool uses hard-coded Avery origins.
• Showing a phantom blank page when the count divides evenly — the blank count here is 0 on an exact fit.
• Long names clipping the card edge — auto-fit shrinks (then truncates) within the safe zone instead.
• Treating a US-Letter Avery as A4-safe — A4 is narrower and taller, so the grid shifts. Match paper to template.
• Printing the CSV header row (Name,Title) as a literal badge — tick “First row is a header.”
• Putting the logo or text in the outer 0.25 in where home printers can't print — keep it in the safe zone.
